Scheduling Care Coordinator

Job Summary:

The scheduler is responsible for the coordination and scheduling of therapy sessions. The scheduler must organize the availability of time and location for clients and therapists to make the most convenient and suitable schedule possible. The scheduler will work closely with client families and GOALS’s staff to handle cancellations, schedule changes, and make up hours.  The scheduler reports to the COO and Clinical Director.


Essential Job Functions:

Under general supervision of the COO and/or Clinical Director,  provides scheduling of therapy sessions for employees and clients.  Handle all employee and client cancellations, vacations and sick calls.  Find coverage for sick calls, track make-up sessions, and help schedule make-up sessions.  Represent GOALS professionally and ethically to internal and external stakeholders.  Manage schedule process and suggest and / or implement efficiency changes.  Manage multiple tasks and clients at the same time.  Track and analyze cancellations, substitutions and make-ups to minimize cancellations and missed sessions.  Maintain relationships with clinical staff and GOALS clients as it pertains to scheduling.  


Positions Supervised (Direct Reports):



Minimum Education or Training Equivalent to:

Associate’s degree from an accredited college or university; bachelor’s degree strongly preferred.  Or,

The equivalent of two years of college coursework at an accredited college or university.


Minimum Years of Additional Related Experience:

One year of related professional experience working with scheduling and / or dispatching.

  • Excellent written and verbal communication skills and the ability to multi-task and handle large phone and email correspondence
  • Able to consistently demonstrate good judgment and decision-making skills.
  • Able to exercise confidentiality and discretion pertaining to the work environment.
  • Able to appropriately interpret and implement policies, procedures, and regulations.
  • Able to obtain criminal record clearance through Department of Justice.
  • Bachelor’s degree preferred.
  • Able to obtain a negative Tuberculosis test.
  • Excellent inter-personal relationship skills and the ability to work with individuals of all levels.
  • Able to demonstrate effective time management.
  • Knowledge of all computer applications such as Excel, Word and PowerPoint.
  • Be available full time between the hours of 8am – 5pm, Monday through Friday.


Physical Requirements (Approximate Percent per 7.5-hour Workday):

Ability to work for extended periods at computer workstation (90%+)
